East Coast Music AssociationPosition: Administrative Coordinator (Part-time)

This position reports directly to the Chief Administrative Officer (CAO).

The East Coast Music Association (ECMA) a registered non-profit association dedicated to the music of Atlantic Canada. The East Coast Music Awards: Festival and Conference is a five-day, non-stop musical celebration showcasing and recognizing the best of East Coast artists and music. The ultimate goal of this internationally recognized event is to position and promote it as the premiere music event for the public and the music industry in Canada and the conference of choice for artists and industry professionals.


  • Manage all aspects of registration for the the East Coast Music Awards and Conference and in-year events.

  • Prepare Artist and Sponsorship contracts

  • Data entry in Quickbooks including but not limited to: Printing cheques o Creating and sending invoiceso Paying Vendor invoices o Tracking cash flow

  • Assist in selling event tickets

  • Develop a system to organize Google Drive and be responsible for maintaining the drive

  • Reception duties as required

  • General office assistance

  • Other duties as required


  • Have strong organizational skills; detail oriented with a strong ability to prioritize, multi-task and meet deadlines.

  • Reliable, hard-working, conscientious and a team player with a positive attitude.

  • Provide excellent customer service.

  • Works well independently, and as part of a team.

  • Creative, resourceful, flexible, and takes initiative.

  • Effective problem-solving capabilities.

  • Familiarity with Slack and ASANA considered an asset

  • Excellent communication skills, both verbal and written.

  • Experience in accounting software especially QuickBooks considered an asset

  • Proficiency in Microsoft Office, especially Word and Excel

  • Experience in Google Suite is desirable

  • Interest in the East Coast music scene.

  • Bi-lingual considered an asset

  • Must be able to work flexible hours, some evenings and weekends will be required and long days during the event.

  • Able to travel to support event delivery to Charlottetown PE April 29 to May 6, 2019,

    (accommodations and meals provided).Start Date: November 12, 2018 – June 30, 2019

    Salary: $15 per hour. This position is based in the Halifax Office. The hours will fluctuate during the contract (5 hours per week to 30 hours per week)
